Key Responsibilities

  • Administrative Support: Manage daily office operations, including scheduling meetings, maintaining office supplies, and handling correspondence.
  • Bookkeeping: Perform regular bookkeeping tasks, including recording financial transactions, reconciling bank statements, and managing accounts payable/receivable.
  • Reporting: Prepare and maintain financial reports, budgets, and forecasts as required by management.
  • Client Communication: Interact with clients and vendors professionally, addressing inquiries and ensuring timely communication.
  • Record Management: Organize and maintain physical and digital filing systems to ensure easy access to records and documents.
  • Assistance in Audits: Assist in the preparation of documents for audits and collaborate with auditors to provide necessary information.
  • Data Entry: Accurately enter financial data into accounting software and maintain up-to-date records.

Required Skills and Qualifications

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and accounting software (e.g., QuickBooks, Xero).
  • Strong organizational and time management skills with the ability to multitask.
  • Excellent written and verbal communication skills.
  • Attention to detail and a high degree of accuracy in financial record-keeping.
  • Basic knowledge of accounting principles and practices.

Experience

  • Minimum of 2 years of experience in an administrative or bookkeeping role, preferably in a corporate environment.
  • Experience in managing office operations and providing administrative support to senior management.

Working Hours

  • Full-time position: Monday to Friday, 9:00 AM to 5:00 PM.
  • Flexibility to work additional hours during peak periods or special projects as needed.

  • Understanding of basic accounting and financial principles.
  • Ability to work independently and as part of a team.
  • Strong analytical skills to assess financial data and identify discrepancies.
