RankIQ Media is seeking a highly organized and proactive Virtual Executive Assistant / Admin Support Specialist to provide comprehensive administrative and operational support to our executive team. As an Executive Assistant, you will play a vital role in optimizing executive productivity through effective scheduling, communication management, documentation, and coordination with internal and external stakeholders. You’ll act as the backbone of the organization’s administrative efficiency, helping drive growth and operational excellence in a fast-paced digital media environment.
Key Responsibilities:

Manage executive calendars, schedule appointments, and coordinate meetings across multiple time zones.

Prepare and organize internal and external reports, presentations, and correspondence.

Handle email management, including prioritizing communications and drafting responses on behalf of executives.

Maintain accurate records, manage digital filing systems, and ensure data confidentiality.

Support day-to-day administrative functions such as document preparation, travel coordination, and expense tracking.

Assist with project coordination, task tracking, and follow-ups to ensure deadlines are met.

Act as a liaison between executives, internal teams, and external partners.

Conduct online research and compile data to support business decision-making.

Monitor workflows, manage meeting notes, and ensure action items are completed.

Required Skills and Qualifications:

Bachelor’s degree in Business Administration, Communication, or a related field (preferred).

Proven experience as an Executive Assistant, Administrative Assistant, or Virtual Assistant.

Excellent written and verbal communication skills in English.

Strong time management and organizational abilities with attention to detail.

Proficiency in productivity tools such as Google Workspace (Docs, Sheets, Slides), Microsoft Office Suite, and project management tools (Asana, Trello, or ClickUp).

Strong multitasking skills and the ability to adapt quickly to changing priorities.

Reliable internet connection and proficiency in virtual communication tools such as Zoom, Slack, and Microsoft Teams.

Experience:

Minimum 2–4 years of administrative or executive assistant experience (remote experience preferred).

Experience supporting senior leadership or C-level executives is an advantage.

Exposure to digital marketing, media, or content-driven companies will be considered a plus.
Working Hours:

Remote position – work from anywhere.

Standard hours: Monday to Friday, 9 AM – 6 PM (flexible scheduling available to support executives in different time zones).
