Administration Assistant

Key Responsibilities

  • Provide administrative support to various departments, including managing correspondence, scheduling appointments, and organizing meetings.
  • Maintain and update filing systems, both physical and electronic, ensuring data accuracy and confidentiality.
  • Assist in preparing reports, presentations, and other documents as required.
  • Coordinate office supplies inventory and facilitate procurement processes.
  • Support the onboarding process for new employees, including preparation of materials and scheduling orientation sessions.
  • Handle incoming phone calls and inquiries, directing them to the appropriate personnel.
  • Assist with special projects and perform other related duties as assigned.

Required Skills and Qualifications

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Time management skills with the ability to prioritize tasks effectively.
  • Basic knowledge of office equipment (printers, scanners, etc.).

Experience

  • Previous experience in an administrative role is preferred but not mandatory.
  • Experience in customer service or a related field is a plus.

Working Hours

  • Full-time position, Monday to Friday, 9:00 AM to 5:00 PM. Flexibility may be required to meet project deadlines.

  • Ability to maintain professionalism in a fast-paced environment.
  • Strong problem-solving skills and adaptability to changing circumstances.
  • Familiarity with office management procedures and basic accounting principles is beneficial.
