Key Responsibilities

  • Greet and welcome clients and visitors in a professional and friendly manner.
  • Manage the front desk operations, including answering phone calls, responding to emails, and directing inquiries to the appropriate personnel.
  • Schedule and coordinate appointments and meetings, ensuring optimal use of time and resources.
  • Maintain a clean and organized reception area, ensuring that all materials are up to date and accessible.
  • Assist in administrative tasks such as filing, data entry, and maintaining records.
  • Collaborate with other departments to ensure seamless communication and operational efficiency.
  • Handle incoming and outgoing mail and packages.
  • Support HR and office management functions as needed, including onboarding new staff and managing office supplies.

Required Skills and Qualifications

  • High school diploma or equivalent; additional qualifications in office administration or related field is a plus.
  • Proven experience as a front office assistant, receptionist, or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office management software.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Professional demeanor and customer service orientation.
  • Ability to handle confidential information with integrity.

Experience

  • Minimum of 1-2 years of experience in a front office or administrative role.
  • Experience in a fast-paced environment is preferred.

Working Hours

  • Full-time position, Monday to Friday, 9:00 AM to 5:00 PM. Flexibility to work overtime as needed.

Knowledge, Skills, and Abilities

  • Strong problem-solving skills and ability to work independently.
  • Familiarity with office equipment such as printers, copiers, and telephone systems.
  • Ability to work collaboratively in a team environment while also being self-motivated.
  • Knowledge of basic bookkeeping and accounting principles is a plus.
