Job Summary

Key Responsibilities

  • Oversee daily office operations to ensure a productive work environment.
  • Manage office supplies, including inventory control and ordering new materials as needed.
  • Assist in scheduling meetings, appointments, and travel arrangements for staff.
  • Maintain organized filing systems for important documents and records, both digital and physical.
  • Serve as the first point of contact for visitors and callers, providing excellent customer service.
  • Support the finance department with basic bookkeeping tasks, such as invoicing and expense tracking.
  • Coordinate internal communications and facilitate information flow between departments.
  • Prepare reports, presentations, and correspondence as needed.
  • Assist with onboarding new employees and maintaining employee records.
  • Ensure compliance with office policies and procedures.

Required Skills and Qualifications

  • High school diploma or equivalent; associates or bachelors degree in business administration or related field preferred.
  • Proven experience as an office administrator, office assistant, or similar role.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Attention to detail and problem-solving abilities.
  • Ability to work independently and collaboratively in a team environment.

Experience

  • Minimum of 2 years of experience in an administrative role or office environment.
  • Experience in a customer-facing position is a plus.
  • Familiarity with basic accounting principles and practices is desirable.

Working Hours

  • Full-time position, Monday to Friday, 9:00 AM to 5:00 PM.
  • Flexibility in hours may be required based on business needs.
